From addendum to construction administration, these entries cover the foundational document types, approval workflows, and client-facing terminology that every Northstar Design Collaborative associate must command from day one.

Addendum
Proposal
A formal written modification issued during the bidding phase (Phase IV) that clarifies, corrects, or supplements the construction documents or proposal. All addenda become part of the contract. Issued by Northstar Design Collaborative during bid review to answer contractor questions or correct errors discovered after document release.

AIA Agreement
Legal
A standard contract form published by the American Institute of Architects. Some clients and architects send their own AIA agreement in lieu of signing the Northstar Design Collaborative Consultation Agreement. When received, sign and return it. The AIA agreement supersedes the Northstar Design Collaborative internal agreement form but does not change the scope or fee structure defined in the proposal.

AIA Lunch & Learn (CEU)
Sales
An American Institute of Architects-approved continuing education presentation delivered by Northstar Design Collaborative to architect firms, typically over a hosted lunch. Presentations build relationships, establish authority, and generate proposal leads. Current approved topics include A2L refrigerants, food waste disposal systems, sustainable facility design, and kitchen planning fundamentals. Each presentation earns AIA CEU credits for attending architects. Cost to Northstar Design Collaborative: approximately $10/day LinkedIn ad spend plus presentation delivery time.

Systems
The professional services equipment quoting and specification platform used by Northstar Design Collaborative to estimate equipment costs on projects. AutoQuotes stores historical project records with estimated equipment values, which are used when completing SF 330 forms (the estimated project cost field). It is the primary source for equipment cost validation when writing proposals.

Bid Review
Proposal
The process during Phase IV (Bidding/Negotiations) in which Northstar Design Collaborative reviews contractor bids submitted against the construction documents, evaluates alternates, and advises the owner on bid selection. Bid review is one of the most risk-sensitive deliverables: errors here can result in an owner overpaying by tens of thousands of dollars or selecting an unqualified contractor.

Systems
PDF collaboration and markup software used by Northstar Design Collaborative for reviewing construction documents, coordinating with architects and engineers, and managing redline comments. Used in the Implementation Administration phase for submittals and RFI documentation.

DMS (Document Management System)
Systems
The cloud storage and file-sharing platform used at Northstar Design Collaborative for storing project files, proposal documents, and completed deliverables. Box serves as the firm's canonical document repository. Associates are expected to save all completed work to the appropriate Box folder for project continuity and team access.

Bullseye (SF 330 Selection Method)
Proposal
[Department Manager]'s framework for selecting the five past projects submitted on an SF 330. The bullseye means selecting projects that most precisely match the client's request: same architect + same sector + same city or state is the center bullseye. If no bullseye match exists, expand outward to the nearest geographic and sector match. The principle: the client is not evaluating your best projects; they are evaluating your most relevant projects for this specific scope.

C
CA (Implementation Administration)
Proposal
Phase V of the standard Northstar Design Collaborative five-phase structure. Represents 18% of the total fee (15% in some sector configurations). Includes submittal review, RFI responses, site inspections (typically one for floor penetrations and one final with written report), and the final punch list. CA is the phase that prevents installation deviation from the approved documents. For correctional projects, CA percentage is increased due to heightened security coordination requirements.

Northstar Design Collaborative (Wordmark Rule)
Proposal
The firm name is always written in lowercase, bold, and rendered in Northstar Design Collaborative blue (#266889) in every document. Never capitalized except in the formal legal name [COMPANY NAME] ASSOCIATES, INC. within contract language. On dark backgrounds, the name is white and bold. This rule applies without exception in every proposal, training document, email, and marketing asset.

CD (Project Documents)
Proposal
Phase III of the five-phase structure. The largest phase at 35% of the total fee. Produces final plans, building condition documentation, elevations, written specifications for bid, and regulatory agency review submissions. The CD phase carries the highest documentation risk of all five phases: errors or omissions discovered here can trigger change orders, contractor disputes, and costly rework. Drawings are produced in Revit at full construction scale with complete MEP coordination.

Clash Detection
Design
The BIM/Revit process of identifying conflicts between different building systems (mechanical, electrical, plumbing, structural, professional services equipment) before construction begins. Northstar Design Collaborative uses clash detection as a key value differentiator: catching a conflict in a model costs nothing; discovering it after concrete is poured costs tens of thousands. Brett Daniel, FCSI, leads this function as Northstar Design Collaborative's BIM/Revit Manager.

Consultation Agreement
Legal
The formal contract between Northstar Design Collaborative and the client, included as the final pages of every fee proposal. Key articles: (I) Associates' duties defined by reference to the proposal; (II) Maximum fee, phase breakdown, net-30 payment terms; (III) Either party may terminate with 7 days written notice, reactivation fee applies after 4+ months suspension; (IV) Client may cancel for non-performance; (V) This agreement supersedes all prior negotiations. No work begins until the authorization page is signed and returned, or an AIA agreement is executed.

Conversion Rate
Sales
The ratio of proposals submitted to contracts signed. Northstar Design Collaborative's conversion rate is approximately 1.2:1 (one signed contract for every 1.2 proposals), compared to the industry average of 5:1. This extraordinary hit rate of approximately 80% (vs. 30% industry average) is the quantitative proof that proposal quality, speed, and client relationship depth directly drive revenue. Every improvement to proposal discipline compounds this advantage.

DD (Design Development)
Proposal
Phase II of the five-phase structure. Represents 25% of the total fee. Produces equipment plans in Revit at 1/4" scale, equipment data books, connection plans, and updated cost estimates. DD is where the schematic concept is resolved into buildable detail, MEP coordination begins, and the client approves the equipment selection before documents go to construction. Errors not caught here surface as costly change orders in Phase III or IV.

Decision Drivers ([Department Manager]'s Four)
Sales
[Department Manager]'s framework for understanding what moves a client to act: (1) Impact: what does completing this project accomplish for the community or organization; (2) Critical Event: what happens if the timeline or budget is missed; (3) Emotional: how will the end-user feel once it is done; (4) Rational: square footage, population, budget, menu preferences. All four must be addressed in the proposal narrative. The emotional and rational drivers are for internal analysis only; these exact words never appear in client-facing text.

Delivery Markers (30/60/90/100)
Proposal
Percentage milestones within each phase that define interim deliverable checkpoints on complex or multi-site projects. At 30%, 60%, 90%, and 100% completion of a phase, Northstar Design Collaborative submits documents for client and architect review. The Major Transportation Hospitality Project engagement used this convention. Each marker triggers a review meeting and, potentially, a progress invoice. Additional meetings beyond the standard count are billed at $225/hour.

Discovery (Information Gathering)
Sales
The pre-proposal process of gathering all information required to write an accurate, defensible scope of work. Uses the Work Scope Template (created by Jasmine Wilde) to collect: project name, type, location, client/architect contact, segment, square footage per area, estimated equipment cost, and any specific RFP requirements. [Department Manager]'s principle: a great designer listens first before applying the math. Discovery is the professional act of listening. Rational data (square footage, FTE count, budget) and emotional data (why this project matters, what the end-user needs) are both captured.

Equipment Budget / Cost Estimate
Fee Calc
The total estimated cost of all professional services or specialty service line equipment specified for a project, calculated from square footage using the sector rate schedule. This figure is used in two ways: (1) as the base for percentage-method fee calculation (fee = equipment cost × sector percentage); (2) as a required field on SF 330 forms, where AutoQuotes provides the value from historical project records. The estimate is always presented to clients as planning-only; actual cost depends on final specifications and market conditions.

Personnel
The premier professional organization for professional design consulting consultants. FCSI membership and credential signify peer-validated expertise and adherence to professional standards. FCSI membership on your firm's proposal signals institutional credibility and distinguishes your firm from non-credentialed competitors. List all credentialed personnel with their full designation.

Fee Proposal
Proposal
The complete formal document submitted to a client that defines the scope of services, estimated equipment cost, proposed fee, phase breakdown, meeting structure, standard legal language, and the Consultation Agreement. The fee proposal is both a sales document and a legal instrument. It defines Northstar Design Collaborative's obligations, establishes the fee ceiling, and triggers all subsequent billing. No work begins without a signed fee proposal or executed AIA agreement.

Five-Phase Structure
Proposal
The standard Northstar Design Collaborative proposal framework: Phase I SD (20%), Phase II DD (25%), Phase III CD (35%), Phase IV BN (2%), Phase V CA (18%). Total 100%. The phase structure is the fee logic model that defines when work is delivered and when invoices are issued. A 3-phase format (SD/DD combined, CD, CA) is used for smaller or fire-station-type projects. A 6-phase format adds Programming/Equipment Survey before SD for renovations requiring pre-design assessment.

Flagging is a professional obligation, not a courtesy. A contract vehicle used primarily by government, healthcare, and school clients where the exact timing and quantity of design services is unknown at the time of award. IDIQ contracts establish a master agreement with pre-negotiated rates and qualifications; specific work is ordered via task orders as projects arise. Ishikawa Frame (5-Layer Client Analysis)
Sales
[Department Manager]'s adaptation of the Ishikawa root-cause analysis framework to client decision-making. Applied to sales: surface needs (the stated request) mask deeper rational and emotional drivers. The Kleenex example: buying Kleenex is rational (paper tissue); but the actual driver is protecting your family from germs (emotional). The baby seat example: tires are rational; the baby in the back seat makes it emotional. The Joint Commission on Accreditation of Healthcare Organizations standards that govern professional services operations in hospitals and healthcare facilities. JCAHO compliance requirements affect equipment selection, sanitation design, refrigeration reliability, and traffic flow within healthcare kitchens. Laundry Sizing Formula (15-Pound Rule)
Design
The standard method for calculating specialty service line equipment requirements for hotel and institutional projects. Standard hotel: 15 lbs of specialty service line per key per day. Luxury hotel (spa/multiple pools): 20 lbs per key per day. Correctional: 3 lbs per inmate per day. Formula: (keys × lbs/day) ÷ 7 working hours = lbs/hour capacity required. Example: 192 keys × 15 = 2,880 lbs/day ÷ 7 = 412 lbs/hour. At 200-lb washer capacity with 45-min cycle (267 lbs/hour): 2 washers needed. At 200-lb dryer capacity with 60-min cycle (200 lbs/hour): 3 dryers needed.

Letter of Objective
Proposal
A formal statement of Northstar Design Collaborative's intent and approach, required as part of RFP responses. The Letter of Objective describes how Northstar Design Collaborative will specifically meet the client's goals, why this firm is best positioned for this particular project, and what the client can expect from the engagement. It is distinct from the cover letter (which introduces the firm) and the scope of work (which defines deliverables). The Letter of Objective is the strategic argument for selection.

Legal
A formal certification required by certain government or institutional clients as part of the RFQ or proposal process. Standard language: "Northstar Design Collaborative is not or has not been involved in any active or pending litigation. Northstar Design Collaborative does not have any current or former associates involved in any active or pending litigation (within the past five years)." Signed by Marcus Reid, FCSI, CSI, President. This letter is pulled from the standard templates folder and updated with the current project name before submission.

Made/Paid/Loved (Client Motivation Framework)
Sales
[Department Manager]'s adaptation of Cardone's motivation framework for the professional consulting context. Made: what does this project help the client achieve or create ("graduation rates increase 50% with better nutrition"). Paid: what is the financial return or cost reduction ("ROI via energy reduction," "lower labor cost via zero-step layout"). Loved: what recognition, pride, or relationship value does the client gain ("world-class facility recognition," "recruiting tool for top staff"). All three layers should be present in the proposal narrative, with sector-appropriate language. [Department Manager] describes this as the "softened Cardone" version, calibrated for institutional clients.

Design
The industry-standard specification writing system used by Northstar Design Collaborative for producing the written equipment and installation specifications included in the Project Documents phase. MasterSpec provides the structural framework; Northstar Design Collaborative's specifications writers customize it for each project's equipment selections, installation requirements, and local code conditions. The Made/Paid/Loved framework is for internal analysis during proposal drafting. Never write the words "emotionally," "rationally," "critically," or the framework labels themselves in a client-facing document. These are diagnostic tools. The output of the analysis is a well-crafted narrative paragraph, not a labeled framework.

Net 30 (Payment Terms)
Legal
The standard payment term in every Northstar Design Collaborative Consultation Agreement: payment is due within 30 days of receipt of invoice. Invoices are submitted on the 1st of each month or on agreed-upon dates. Work ordered beyond the contracted scope is billed at the current hourly rate schedule. Late payment is not addressed with a penalty rate in the standard agreement; however, reactivation costs apply if a project is suspended for more than four consecutive months.

On-Call Services Contract
Proposal
A pre-established master contract under which Northstar Design Collaborative is available to begin work immediately as task orders are issued, without requiring a separate proposal process for each project. On-call contracts are common in institutional clients, government agencies, and school districts with ongoing renovation programs. The focus is readiness: the firm is pre-qualified and pre-priced, enabling the client to activate Northstar Design Collaborative's services on short notice for any qualifying project within the defined scope.

Phase I: Conceptual Design (SD)
Proposal
The first phase of the Northstar standard five-phase structure, representing 20% of the total fee. Deliverables: initial client meetings, space program review, schematic floor plans, preliminary equipment lists, and preliminary cost estimates. SD prevents congestion and oversizing by establishing the fundamental space allocation and equipment strategy before any detailed engineering begins. Vantage CRM
Systems
The CRM (Customer Relationship Management) platform used by Northstar Design Collaborative to track all proposals, pipeline stages, client communications, and follow-up actions. Every proposal request is logged in Vantage CRM from the moment it is received. Key discipline: the 1–2 paragraph proposal narrative written for each project is saved in the Vantage CRM record, because that text becomes the basis for SF 330 forms, LinkedIn content, and future proposal revisions. Pipeline stages: inquiry received, proposal in progress, proposal sent, signed, declined. Weekly review of unsigned proposals is a standing requirement.

Programming (Pre-Design Report)
Design
A pre-design phase deliverable distinct from Conceptual Design. Programming produces a written report that synthesizes code requirements, regulatory constraints, FTE/population mathematics, operational flow analysis, and project narrative before any design drawings begin. It is the translation of a client's operational needs into design parameters. Renovations in particular often require a Programming or Equipment Survey phase before Conceptual Design can begin, because the existing conditions must be documented and the new program defined before layout can start.

Reactivation Fee
Legal
A contractual fee charged when a project that has been suspended for more than four consecutive months is restarted. The reactivation fee compensates Northstar Design Collaborative for the cost of re-engaging with a project after an extended hiatus: re-reviewing documents, re-coordinating with the team, and reconnecting with the current project status. This provision protects Northstar Design Collaborative from the common situation where a client pauses a project indefinitely and then expects work to resume at no additional cost.

Revit / BIM
Systems
Building Information Modeling software used by Northstar Design Collaborative for producing all construction-quality professional services and specialty design consulting drawings. Equipment plans are produced in Revit at 1/4" scale in Phase II and refined through Phase III. BIM enables 3D clash detection (identifying conflicts with MEP systems before construction), coordination with the architect's and engineer's models, and production of submittal-quality documentation. Proposal
A formal written question submitted by a contractor to the design team during construction, seeking clarification on the drawings or specifications. Northstar Design Collaborative receives and responds to RFIs during Phase V (Implementation Administration). RFI response quality directly affects whether the installed work matches the approved design. Inadequate RFI responses are a leading cause of post-construction disputes and punch list items.

Proposal
A solicitation document issued by a client requesting a detailed proposal that addresses the client's specific project objectives. RFP focus: the objective. What the client wants: a decision tool showing exactly how Northstar Design Collaborative will meet their goals. What Northstar Design Collaborative submits: fee calculation + Letter of Objective + scope of work structured around the four functional instruments. The RFP response is where the full Northstar Design Collaborative proposal methodology lives. Unlike an RFQ, an RFP requires a fee; the client is ready to select a firm and negotiate a contract.

Proposal
A solicitation document issued by a client requesting proof of competency for a specific scope. RFQ focus: can this firm do this kind of work? What the client wants: evidence of relevant experience for this specific project type, sector, and scale. What Northstar Design Collaborative submits: resumes, headshots, photos of completed projects, SF 330 forms. The RFQ is a qualification filter, not a contract award. Passing the RFQ moves Northstar Design Collaborative to the shortlist for an RFP or direct negotiation. RFQ vs RFP is not always a clear distinction. Some clients issue hybrid documents that contain elements of both. Standard Form 330: the federal government's standard form for architecture and engineering qualifications, required in virtually all government RFQ responses. Two components: SF 330 Part I (resume of key personnel and descriptions of five relevant past projects) and SF 330 Part II (firm statistics: disciplines, employee counts, project types and volumes over five years). To complete Part I efficiently: select five projects using the bullseye method; copy the opening 1–2 paragraphs from the original proposal as the project description; use AutoQuotes for the estimated equipment cost. [Department Manager]'s instruction: "It is a reading test. If we can read, we pass."

Square Footage (Scope Protection)
Proposal
The explicit statement of designed square footage in the proposal is not merely descriptive; it is the legal protection for Northstar Design Collaborative's fee if scope expands. If a project grows from 400 SF to 1,200 SF after the proposal is signed, the written square footage in the proposal document proves what was contracted and gives Northstar Design Collaborative the right to request additional compensation. Every proposal must state specific square footage for every designed area. Round to whole numbers in written text (438 SF, not 437.86 SF).

Travel costs beyond 50 miles from the Northstar Design Collaborative Atlanta, GA office are billed as line items separate from the base fee. Day rate for PM site visit: $1,600/day. Mileage: $0.665/mile (IRS standard rate, 2026) for private vehicle use beyond the 50-mile radius. Formula: (office to location + location to office) × number of meetings = total miles × $0.665 = reimbursement amount. Travel costs are never bundled into the base fee; they are explicitly stated as separate line items in the proposal. Failure to separate travel costs is a common proposal error.

The structural rule governing the proposal cover letter narrative: the client-facing narrative about the project consists of exactly two paragraphs. Paragraph 1 (context/why): identifies the project's impact, the client's critical event, the emotional decision, and the rational decision. Paragraph 2 (scope/what): describes the design scope, square footage, spaces, and key equipment features. This two-paragraph structure is the most reusable asset in the entire proposal: it becomes the SF 330 project description, the LinkedIn post content, the RFQ narrative, and the reference paragraph for future engagements with the same client.

Proposal
The standard paragraph in every Northstar Design Collaborative proposal that documents the firm's independence. Standard text: "Northstar Design Collaborative is not beholden nor tied to any particular manufacturer. We specify the best equipment for the application." Sector-specific versions: hospitality uses "F&B independence"; education and healthcare use "Professional Services independence." Proposal

Fields: project name, type (new construction or remodel), location, client/architect name/title/firm/address/phone/email, project segment, square footage per area, estimated equipment cost, and specific notes or RFP requirements from the inquiry email. Completing this form before writing any proposal text ensures the narrative and fee calculation are grounded in verified information, not assumptions.
